Meeting Recording Notice
For anyone joining a meeting that is recorded through Aura. What is captured, who receives it, and how to object.

Who Is Recording
You have reached this page because a meeting you booked or joined is recorded using Aura.
The organization that invited you decides whether to record, why, and what to do with the recording afterwards. They are responsible for that decision and for telling you about it. Aura A.I LLC provides the software and handles the recording on their instructions. If you want to know why a specific meeting is being recorded, ask the organization that invited you.
What Is Captured
A notetaker joins the meeting as a visible participant. It records:
- Audio and video of the meeting
- A written transcript, with speakers identified separately
- Who joined, and when they joined and left
The notetaker appears in the participant list and posts a message in the meeting chat when it joins. It does not capture anything before it joins or after it leaves.
AI Analysis
The transcript is analyzed automatically by AI models. This produces a summary, action items, and scores that assess how the conversation went. Those scores describe both the salesperson and the other participants, including estimates of buying intent and sentiment.
These are automated estimates, not decisions. No outcome is applied to you automatically on the basis of a score, and a person at the inviting organization reviews the conversation. Only transcript text is sent to the AI models. The audio and video are not.
Who Receives It
- The organization that invited you, which can view and replay the recording, the transcript, and the analysis.
- Recall.ai (Hyperdoc Inc.), which operates the notetaker and produces the recording and transcript.
- Aura's infrastructure providers, which store the recording and transcript: Supabase for storage and Mux for video playback.
- AI model providers, which receive the transcript text through Vercel AI Gateway to produce the summary and analysis.
- Systems the inviting organization has connected, such as their own CRM, if they have chosen to send meeting data there.

How Long
Recall.ai holds the captured audio and video for a limited window and then deletes it. The copy stored in the inviting organization's Aura workspace, along with the transcript and the AI analysis, is kept until it is deleted on request. We do not currently apply an automatic deletion schedule to those records.
How to Object
You can:
- Say so at the start of the meeting and ask the host to stop the recording.
- Ask the host to remove the notetaker from the meeting.
- Decline to join, or leave the meeting.
- Ask afterwards for the recording and transcript to be deleted, using the contact details below.
Some places require the agreement of everyone on a call before it can be recorded. If you are in one of them and you have not agreed, say so and the host must stop recording.
Your Rights
Depending on where you live, you may have the right to ask for a copy of the data held about you, to have it corrected or deleted, or to object to it being processed. Because the inviting organization decides how the recording is used, direct your request to them first. If you cannot reach them, or you are not sure who they are, contact us and we will help identify them and pass your request on.
